Zone Pro Terms of Use

These Terms of Use ("Terms") govern your access to and use of the Zone Pro website, application, software, and related services (collectively, the "Service").

By accessing or using Zone Pro, you agree to these Terms.

If you do not agree to these Terms, you should not use the Service.

1. About Zone Pro

Zone Pro is a software platform designed to assist schools, campuses, athletic departments, coaches, administrators, coordinators, maintenance personnel, and other organizations with facility scheduling, requests, communication, reporting, and campus operations.

Zone Pro provides software tools. It does not control the physical facilities, policies, decisions, personnel, or operations of the organizations using the Service.

2. Eligibility

You may use Zone Pro only if you are legally permitted to enter into these Terms and use the Service.

If you use Zone Pro on behalf of a school, district, campus, business, or other organization, you represent that you are authorized to do so.

3. User Accounts

Certain features require an account.

You agree to provide accurate and current information when creating your account.

You are responsible for:

Maintaining the confidentiality of your credentials
Protecting your account
All activity occurring through your account
Not sharing your credentials improperly
Not allowing unauthorized individuals to use your account

You should notify Zone Pro or your organization promptly if you suspect unauthorized access.

4. Campus and Team Membership

Zone Pro may organize users into district, campus, team, or organizational environments.

Membership may be established through:

Campus onboarding
Administrator invitations
Coordinator invitations
Team codes
QR codes
Invitation links
Other approved onboarding methods

Campus administrators and coordinators may control membership and user permissions within their organization.

5. User Roles

Zone Pro may provide different roles, including:

Coach
Coordinator
Administrator
Maintenance
Other authorized roles

Access to features depends on the user's assigned role and organizational permissions.

Users may not attempt to obtain access to features or information they are not authorized to access.

6. Invitations

Zone Pro may allow administrators and coordinators to invite users through email links, QR codes, team codes, or other methods.

Users may only use invitations intended for them or otherwise authorized for their use.

Zone Pro may invalidate or revoke invitations when necessary.

7. Facility Scheduling

Zone Pro provides tools for managing facility schedules.

However, Zone Pro does not own, operate, control, or guarantee access to any physical facility unless expressly stated otherwise.

A schedule displayed within Zone Pro does not independently guarantee physical access to a facility.

Facility access remains subject to:

Campus policies
District policies
Facility rules
Administrator approval
Physical availability
Closures
Maintenance
Emergencies
Safety considerations
Other circumstances outside Zone Pro's control

8. Facility Requests

Users may submit requests to use facilities.

Submitting a request does not necessarily mean that the request has been approved.

Users should rely on the approval/confirmation status displayed by the application and applicable campus procedures.

9. Instant Requests

Zone Pro may provide an "Instant Request" or "Send Request Now" feature.

This feature is designed to allow users to quickly submit a facility request.

An instant request is not a guarantee of facility access.

The request remains subject to the applicable campus approval process.

Users should not enter or occupy a facility based solely on the submission of an unapproved request.

10. Accuracy of Scheduling Information

Zone Pro attempts to provide accurate scheduling and facility information.

However, schedules and availability may change.

Information may be affected by:

User actions
Administrator changes
Technical problems
Delays
Synchronization issues
Facility closures
Emergencies
Third-party services
Other circumstances outside Zone Pro's control

Users should verify important scheduling information with the appropriate campus or facility administrator when necessary.

11. AI Coach

AI Coach is provided as an assistive feature.

AI Coach may provide information, recommendations, summaries, or perform supported actions based on information available to the user.

AI Coach responses are not guaranteed to be accurate.

You agree not to rely exclusively on AI Coach for decisions involving:

Safety
Legal matters
Medical matters
Financial matters
Emergency situations
Critical operational decisions

Users remain responsible for verifying important information.

12. User Content

Users may provide information, text, photographs, schedules, requests, or other content through Zone Pro.

You retain ownership of content you have the legal right to own.

By submitting content to Zone Pro, you grant Zone Pro the limited rights reasonably necessary to host, store, process, transmit, display, and otherwise use that content to provide and operate the Service.

You represent that you have the right to submit the content.

13. Acceptable Use

You agree to use Zone Pro lawfully and responsibly.

You may not:

Attempt unauthorized access
Circumvent security controls
Access another user's account without authorization
Manipulate facility schedules without authorization
Abuse invitations or QR codes
Impersonate another person
Upload malicious software
Interfere with the Service
Attempt to damage Zone Pro
Scrape or extract data without authorization
Reverse engineer the Service where prohibited by law
Use the Service for fraudulent purposes
Violate applicable laws
Violate applicable school, district, campus, or organizational policies

14. Campus Administrator Authority

Authorized campus administrators and coordinators may manage their organization's Zone Pro environment.

This may include:

Adding users
Removing users
Assigning roles
Sending invitations
Managing facility access
Managing schedules
Approving or denying requests
Viewing authorized reports
Managing campus settings

Zone Pro is not responsible for decisions made by campus or district personnel.

15. Service Availability

Zone Pro strives to provide reliable service but does not guarantee that the Service will always be:

Available
Uninterrupted
Error-free
Secure
Completely accurate
Free from delays

The Service may occasionally be unavailable because of:

Maintenance
Updates
Technical problems
Internet connectivity
Hosting problems
Third-party service outages
Security incidents
Circumstances beyond Zone Pro's reasonable control

16. Third-Party Services

Zone Pro may rely upon third-party services, including authentication, hosting, email, cloud, artificial intelligence, analytics, and other technology providers.

Zone Pro is not responsible for interruptions, errors, policies, or failures caused by third-party services outside Zone Pro's reasonable control.

Your use of certain third-party services may also be subject to their separate terms and policies.

17. Intellectual Property

Zone Pro and its associated software, branding, logos, designs, interfaces, features, technology, and content are owned by or licensed to Zone Pro and are protected by applicable intellectual property laws.

Except as expressly permitted, you may not:

Copy Zone Pro
Reproduce its software
Sell or redistribute the Service
Modify or create derivative works
Attempt to extract source code
Use Zone Pro branding without authorization

18. Limited License

Subject to these Terms, Zone Pro grants you a limited, non-exclusive, non-transferable, revocable right to access and use the Service for its intended purpose.

This license ends when your authorization to use Zone Pro ends.

19. Privacy

Your use of Zone Pro is also governed by the Zone Pro Privacy Policy.

The Privacy Policy explains how Zone Pro collects, uses, maintains, and discloses information.

20. Account Suspension or Termination

Zone Pro may suspend or terminate access when reasonably necessary, including if:

You violate these Terms
Your account presents a security risk
You engage in unauthorized activity
You misuse the Service
Your organization removes your access
Your campus membership ends
Required by law
The Service is discontinued

Campus administrators may also manage your access within their organization.

21. Disclaimers

TO THE MAXIMUM EXTENT PERMITTED BY APPLICABLE LAW, ZONE PRO PROVIDES THE SERVICE ON AN "AS IS" AND "AS AVAILABLE" BASIS.

ZONE PRO DISCLAIMS WARRANTIES TO THE MAXIMUM EXTENT PERMITTED BY LAW, INCLUDING WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, NON-INFRINGEMENT, AVAILABILITY, ACCURACY, AND UNINTERRUPTED OPERATION.

ZONE PRO DOES NOT GUARANTEE THAT:

THE SERVICE WILL ALWAYS WORK
INFORMATION WILL ALWAYS BE ACCURATE
FACILITIES WILL ALWAYS BE AVAILABLE
SCHEDULES WILL ALWAYS BE CURRENT
REQUESTS WILL ALWAYS BE PROCESSED WITHOUT DELAY
AI RESPONSES WILL ALWAYS BE ACCURATE
DATA WILL NEVER BE LOST
THE SERVICE WILL NEVER EXPERIENCE SECURITY INCIDENTS

22. Physical Facilities and Safety

Zone Pro is a software platform and does not control physical facilities.

Zone Pro is not responsible for:

Facility conditions
Injuries
Accidents
Property damage
Facility closures
Physical access
Security at a physical location
User conduct at a facility
Campus safety decisions
Facility management decisions

Users must comply with all applicable facility, school, district, and safety requirements.

In an emergency, users should contact appropriate emergency personnel rather than relying upon Zone Pro.

23. Limitation of Liability

TO THE MAXIMUM EXTENT PERMITTED BY APPLICABLE LAW, ZONE PRO AND ITS OWNERS, OPERATORS, AFFILIATES, OFFICERS, EMPLOYEES, CONTRACTORS, SERVICE PROVIDERS, AND PARTNERS SHALL NOT BE LIABLE FOR INDIRECT, INCIDENTAL, CONSEQUENTIAL, SPECIAL, EXEMPLARY, OR PUNITIVE DAMAGES, OR FOR LOSS OF PROFITS, REVENUE, DATA, BUSINESS OPPORTUNITIES, OR GOODWILL ARISING OUT OF OR RELATED TO YOUR USE OF OR INABILITY TO USE THE SERVICE.

THIS INCLUDES, TO THE EXTENT PERMITTED BY LAW, CLAIMS ARISING FROM:

FACILITY AVAILABILITY
FACILITY ACCESS
MISSED OR CHANGED RESERVATIONS
INCORRECT INFORMATION
AI-GENERATED INFORMATION
USER ACTIONS
CAMPUS ADMINISTRATOR ACTIONS
THIRD-PARTY SERVICES
SERVICE INTERRUPTIONS
DATA LOSS
TECHNICAL FAILURES
SECURITY INCIDENTS

TO THE MAXIMUM EXTENT PERMITTED BY APPLICABLE LAW, THE TOTAL LIABILITY OF ZONE PRO ARISING OUT OF OR RELATED TO THE SERVICE SHALL BE LIMITED TO THE AMOUNT PAID BY THE USER OR ORGANIZATION TO ZONE PRO FOR THE SERVICE DURING THE TWELVE MONTHS PRECEDING THE EVENT GIVING RISE TO THE CLAIM.

Some jurisdictions do not allow certain limitations of liability. In those jurisdictions, the limitations above apply only to the extent permitted by applicable law.

24. Indemnification

To the maximum extent permitted by applicable law, you agree to defend, indemnify, and hold harmless Zone Pro and its owners, operators, affiliates, officers, employees, contractors, and service providers from claims, liabilities, damages, losses, and expenses, including reasonable legal expenses, arising out of or related to:

Your violation of these Terms
Your misuse of the Service
Your violation of applicable law
Your violation of another person's rights
Unauthorized activity conducted through your account
Content you submit to the Service
Your violation of campus or organizational policies

25. No Emergency Service

Zone Pro is not an emergency service.

Do not use Zone Pro as a substitute for emergency services, emergency communication, campus security, medical assistance, or other emergency resources.

26. Changes to Zone Pro

Zone Pro may modify, update, suspend, or discontinue features of the Service at any time.

Features may be added, removed, modified, or replaced as Zone Pro develops the platform.

27. Changes to These Terms

Zone Pro may update these Terms periodically.

Updated Terms will be posted through the Service or website with an updated "Last Updated" date.

Your continued use of Zone Pro following an update constitutes acceptance of the revised Terms to the extent permitted by applicable law.

28. Governing Law

These Terms shall be governed by applicable law, without regard to conflict-of-law principles, subject to any mandatory rights or protections provided by the laws applicable to you.
